When you engage with Edu@Sea via various channels, including our website, our partners and the customer department, we collect and process your data. The personal data that we collect and process can be categorized as follows:
- Personal details, such as first and last name, address, phone number, e-mail address, date of birth, city of birth, information about your next of kin;
- Information about your payments, as shown in bank statements;
- Information about your health, as reported on the health declaration;
- Information about your education so far, as reported on your grade transcript;
- Other personal information that you provide when completing the forms and tests during the application process, for example.
When you engage with Edu@Sea via various channels, including our website, our partners and the customer department, we collect and process some sensitive data. The sensitive personal data that we collect relates to:
- Religious beliefs;
- Mainly with regards to (dietary) requirements relevant to living on board of a ship
- Race;
- Personal data of persons younger than 16 years old.
- We do not intent to collect the personal data of visitors younger than 16 years old without the consent of a parent or guardian. However, we have no way of verifying a visitor’s age. We recommend that parents remain involved in the online activities of their children, in order to prevent the collection of personal data without parental consent. If we have collected the personal data of a person under the age of 16 without parental consent, please contact us on info@scholapolaris.com and we will remove all data.
Edu@Sea collects and processes your data for the following purposes:
- Creating an account on our website
- Processing your payment(s)
- Sending you our newsletter and/or other advertising
- Contacting you by phone or e-mail when this is necessary to be able to fulfil our contractual obligations to you
- To inform you about changes about our goods and services
- To deliver goods and services to you as per our contractual obligations to you

Edu@Sea keeps your information for no longer than necessary for the purposes for which it is collected. The length of time for which we retain information depends on the purposes for which we collect and use it.
Personal data related to your account are kept and processed for five (5) years from the date of last activity. Personal data related to your feedback on our products and services is kept and processed for seven (7) years from the completion date of the given survey, questionnaire or feedback form.
Relevant personal information will be deleted after expiry of the above-mentioned periods unless such data legitimately can be kept and processed for other processing purposes, for which we have a legal basis.
Edu@Sea shares your personal data with third parties to facilitate the goods and services we provide. These third parties include:
- The educational partner responsible for the IB curriculum;
- The ship on which the journey takes place;
- Event or activity organisations in host countries;
- Other third parties subject to your consent.
Also, we may share your data with the following third parties:
- Contracted third party vendors carrying out services on our behalf, including billing, customer service, service support, shipping, order fulfilment, data storage, validation, security, fraud prevention, payment processing, and legal services. Such third-party vendors have access to perform these services but are prohibited from using your data for other purposes;
- Third parties to establish, exercise or defend legal rights of Edu@Sea;
- Third parties in the event of any merger, sale, joint venture, assignment, transfer or other disposition of all or any portion of the Edu@Sea’s assets or stock (including without limitation in connection with any bankruptcy or similar proceedings).
We may disclose your data to third parties to the extent required by law, court order or a decision rendered by a competent public authority and for law enforcement.
Edu@Sea uses functional, analytical and tracking cookies. A cookie is a small text-file (.txt) that is stored in your laptop, computer or personal device when you first visit our website. We use functional cookies to ensure that our website functions as intended and to optimise the website. Your personal preferences or personal settings are also stored. We also place tracking cookies that track which sites you have visited so we can offer you personalised content and advertisements.

To verify that this request about your data is done by you, we ask you to send a copy of an official form of identification, like an ID-card or passport. In this copy, you can make the photo, MRZ (machine readable zone), document number and social security number unreadable in order to protect your privacy. Edu@Sea is committed to protecting the security of your data. We use necessary organizational, technical, and administrative measures to protect your data under control of Edu@Sea, such as control of access, transmission, input, and availability and the separation of data.
Your personal details and your credit card details, if you have provided such to Edu@Sea, remain encrypted on Credit Card Company ICS’s secure web servers. Credit card information is directed to one or more approved and certified service provider(s).
All data storage and processing at computer facilities of Edu@Sea as well as at business partner facilities are subject to written data processing agreements.
As a general principle, your data is stored and processed within the European Economic Area (EEA). However, your data may be transferred outside EEA between Edu@Sea and its authorized third parties, as specified in this policy within the purposes for which your data was collected.
